Terms of Service

By using Workshop Spirit (the “platform”), you agree to these terms. The platform is a booking and workshop management tool operated by Workshop Spirit. We are not the seller of record for workshop bookings unless we state otherwise in writing. For workshop bookings, the organisation hosting the workshop is the seller of record and is responsible for delivering the service you book.

Platform Service

The platform lets organisations list workshops, accept bookings, and manage payments through their own connected payment accounts. We provide the software and infrastructure; hosting organisations are responsible for their listings, pricing, policies, and fulfilment.

Customer Accounts and Acceptable Use

You must provide accurate information when creating an account or making a booking. You are responsible for keeping your login credentials secure. You must not misuse the platform, attempt unauthorised access, interfere with other users, or use the service for unlawful purposes. We may suspend or terminate access where we reasonably believe these terms have been breached.

Booking Contract

When you book a workshop, your contract for the workshop itself is with the hosting organisation. Before you pay, we show workshop-specific terms, refund and cancellation policies, and any code of conduct that applies to that booking. Where there is a conflict between these platform terms and the booking-specific terms shown before payment, the booking-specific terms apply unless applicable law requires otherwise.

Payments and Processor Terms

Customer payments are processed by the payment provider enabled for the hosting organisation, typically PayPal or Stripe. By paying through the platform you also agree to the applicable customer terms and policies for the payment method you choose.

Payment card and account details are handled by the payment processor, not stored by us as full card numbers. We may retain payment metadata (such as transaction references and amounts) for booking records and support.

Refunds and Disputes

Refund and cancellation rights depend on the workshop-specific policy shown before payment and applicable consumer law. Your booking confirmation and receipt reference that policy. Disputes about the workshop service should be raised with the hosting organisation in the first instance. Payment disputes may also be subject to processor buyer protections where available. We may provide booking evidence to organisations and payment processors to help resolve disputes.

Payment Account Integration (Organisations)

By connecting a PayPal or Stripe account to this platform, your organisation agrees to the following:

  1. Third-party processor terms. Your organisation remains bound by the processor’s own terms of service, acceptable use policies, and any other agreements with that processor. Links: PayPal User Agreement; Stripe consumer terms.
  2. Credential storage. You consent to this platform storing and using your API credentials (encrypted at rest) to process payments on your behalf as an authorised service provider.
  3. Seller of record. Your organisation is the seller of record for all transactions processed through your connected account. This platform is not a party to the sale between your organisation and the buyer.
  4. Compliance responsibility. Your organisation is responsible for ensuring its use of payment processors through this platform complies with those processors’ terms. Violations (including prohibited goods or services) may result in suspension of your payment integration.
  5. Refunds and chargebacks. Your organisation is solely responsible for processing refunds and handling disputes and chargebacks, including any associated fees.
  6. Tax obligations. Your organisation is solely responsible for determining, collecting, and remitting all applicable taxes on transactions.
  7. No surcharges. You must not charge buyers a fee solely for choosing the payment method, except where explicitly permitted by local law with full disclosure.
  8. Credential revocation on termination. Upon termination of your organisation’s account, your stored payment credentials will be permanently deleted and all active payment integrations will cease.

Mailchimp Integration (Organisations)

If your organisation connects Mailchimp, you agree to the following:

  1. Marketing controller. Your organisation is the data controller for marketing communications sent to opted-in bookers. This platform acts as a processor when syncing opt-in data to your Mailchimp audience on your instructions.
  2. Credential storage. You consent to this platform storing your Mailchimp API key (encrypted at rest) and using it only to add bookers who have explicitly opted in during checkout.
  3. Opt-in only. Bookers are never subscribed without a clear, affirmative marketing opt-in at checkout. You are responsible for lawful marketing content and unsubscribe handling in Mailchimp.
  4. Third-party terms. Your use of Mailchimp remains subject to Mailchimp’s own terms and policies.
  5. Credential revocation on termination. Upon disconnection or termination of your organisation’s account, stored Mailchimp credentials will be permanently deleted and sync will cease.

Participation Policies (Organisations)

Organisations may select a participation policy template for individual workshops (for example, workshops intended for women or men). Templates are fixed platform wording; organisations cannot publish custom participation policy text through this platform.

  1. Organiser responsibility. Your organisation is solely responsible for how you apply your chosen template, communicate with participants, and run your workshop lawfully and respectfully.
  2. Platform role. Workshop Spirit provides booking tools only. We do not set, endorse, verify, or enforce participation policies. The disclaimer shown to participants makes this clear.
  3. Prohibited content. You must not attempt to circumvent templates with discriminatory workshop descriptions, slurs, dehumanising language, or policies excluding people based on protected characteristics beyond the single-gender framing of the template you selected. Language such as “biological sex only” or “real women/men” is not permitted.
  4. Participant attestation. Participants self-attest in good faith that they have read your policy and believe the workshop is appropriate for them. We do not verify identity. Disputes should be raised with your organisation in the first instance.
  5. Enforcement. We may suspend or remove listings if we reasonably believe your use of participation policies breaches these terms or applicable law.

Governing Law and Changes

These terms are governed by the laws of England and Wales. Courts in England and Wales have exclusive jurisdiction, subject to any mandatory consumer protections in your country of residence. We may update these terms from time to time. Material changes will be reflected by updating the “last updated” date on this page and, where required, the platform terms version used for booking acceptance records.
